A Space is a shared folder in your Library. Everyone you invite to it can see its pages, folders and files, according to the role you give them. You can also share a single page without a Space. This article covers both, plus how to leave or delete a Space. The steps describe the web and desktop apps.
What a Space contains
Open Spaces in the left rail to see your Spaces in the sidebar. To make one, use the + button beside the Spaces heading (its label is Create a space), give the Space a name, and choose an icon and color. You can open Invite people in the same dialog to add email addresses and a role straight away.
Inside a Space, the New menu lets editors add a Page, a Folder, or Upload files. You can also copy something you already have into a Space with Add to space…. It appears in Library file and folder menus, in design menus, in the image right-click menu and in the file viewer. The copy belongs to the Space and is shared with its members, and the original stays where it is.
Share a Space
- Open the Space and select Share in its header. You can also use the Space's "…" menu in the Spaces sidebar.
- Type email addresses in Add people.
- Once you have typed an address, a role menu appears beside the addresses. Choose Admin, Can edit or Can view. The default is Can edit.
- Select Invite. Invitations stay listed under Pending invitations until accepted, and you can revoke one with the x beside it.
The dialog says that access applies to every page in the Space. Only the owner and admins can invite people, change roles or remove members.
| Role | What it allows |
|---|---|
| Owner | Manages members, renames and deletes the Space. |
| Admin | Manages members and renames the Space. |
| Can edit | Adds and edits pages and files. |
| Can view | Reads pages and files. |
The Space link
Link access for a Space is Only those invited. Select Copy link to share the address, but it only opens for people who have been invited to that Space.
Accept an invitation, leave, or delete a Space
- Accept or decline. When you open an invitation to a Space you have not joined yet, a banner reads "You’ve been invited to this space." and offers Decline and Accept.
- Leave. If you are not the owner, choose Leave space… in the Space's options menu (the "…" in its header). It opens the Share dialog, where your own row has a Leave space option.
- Delete. The owner can choose Delete space. A confirmation says the Space's files move to your Trash, and items in the trash are permanently deleted after 30 days.
Share a single page
- Open the page and select Share in the page toolbar, or choose Share from the page's "…" menu.
- Add email addresses under Add people or teams and pick Can view or Can edit. New people can view by default.
- Select Invite.
Someone who already has a verified ZeroTwo account is added to the page right away. Anyone else receives an invitation by email.
| Page role | What it allows |
|---|---|
| Owner | Changes who has access, moves and deletes the page. |
| Can edit | Edits the page and its subpages, and adds subpages. |
| Can view | Reads the page and its subpages, and comments. |
Who can open the link
Under Link access the owner chooses one of three settings:
- Only those invited: people who already have access can use the link.
- Anyone with the link can view.
- Anyone with the link can edit.
Anyone with the link still needs to be signed in to ZeroTwo.
Good to know
- Only the page owner can change who has access. Other people can leave the page with Leave page.
- A subpage uses the sharing of its top-level page. Its Share dialog says where access comes from and offers Manage to the owner.
- A page inside a Space lists the Space's members as one row, labeled "Access is managed in the Space".
- If the page is not yet in a Space, the owner sees Move to a Space as another way to share it.
What happens to shared content
Everyone in a Space can see a folder you add to it. The Share dialog for a Space also shows a notice that shared content may be used for training or memory if collaborators have those settings on. It links to the ZeroTwo privacy policy, and you can dismiss it. Think about what you put in a shared Space before you invite others.
